How to Book Your Wedding Vendors
As a wedding planner, I deal with vendor bookings daily — here are my best tips for you!
In your inquiry, always include:
- full name
- email address
- phone number
This makes communication much smoother for vendors.
Make sure your inquiry includes all essential wedding information, such as:
- date
- guest count
- venue/location
Depending on the vendor, other details may be relevant:
- For a bridal stylist: number of people needing hair & makeup
- For a caterer: total guest number and dietary needs
The more complete your enquiry, the faster you’ll receive an accurate quote.
If you decide not to book a vendor, always let them know.
No one will be upset — it’s simply courteous and professional.
4. Look for Inspiration on the Vendor's Page
Before a meeting, browse the vendor’s website or social media.
If you bring examples of their own work that you like, it shows appreciation and helps ensure they can achieve the style you want.
1. Vendor Ghosting
If you’ve contacted a vendor and they’ve replied — always respond, even if it’s a:
- “no, thank you”,
- “we’re still deciding”,
- or “we’ll get back to you”.
Ghosting is considered unprofessional and can burn bridges.
There are vendors in every price range.
If an offer exceeds your budget, avoid comments like:
“You’re way too expensive!”
Remember:
Every vendor has a target market.
Choose someone who matches both your budget and your style.
While budget matters, the most important factor is the connection and trust between you and the vendor.
These are the people who will support you on one of the most meaningful days of your life — choose those who feel right.
